How do you automate everyday business operations with Sordit Routines?

Many business processes need to happen repeatedly, whether it’s responding to new sales enquiries, preparing orders for fulfilment or producing weekly reports. With Sordit Routines, you can automate these processes to run on a schedule or when something happens in your business.

Turn everyday business processes into Routines

Think about the work your business repeats every day or every week.

For example:

  • Handling sales enquiries: When a new enquiry arrives, you want to research the prospect, create or update their CRM record, assign them to a sales representative, and prepare a response based on your company’s rules and procedures.
  • Processing e-commerce orders: Every three days, you need to retrieve new orders from Shopify, check delivery addresses, prepare a CSV file in the format required by your fulfilment partner, and email it to them.
  • Preparing weekly management reports: Every Monday morning, you pull customer updates from your CRM, download and summarise meeting transcripts, retrieve the latest financial figures from Xero, and prepare a report highlighting what needs management’s attention.

These processes involve several steps across different business applications, and may require decisions or human input along the way.

With Sordit, you can turn them into Routines that run automatically.

How Routines work

A Routine defines a repeatable business process, including the Tasks involved, who’s responsible for each one, and the decisions that determine what happens next. Learn more about how Jobs and Tasks work in Sordit.

You can choose how and when a Routine starts:

  • On a schedule: Run every morning, every Monday at 10 am, or every three days.
  • When something happens in your business: Start when a supported business or operational event occurs, such as a new email arriving, a new customer enquiry being submitted, or a payment being received.

Each time a Routine starts, Sordit creates a new Job using the workflow you’ve defined.

Every Job has its own Tasks, progress and results. AI Agents carry out their assigned work, while staff members can review, approve or provide input when needed.

Manage and update your Routines

You can follow the Jobs created by each Routine, review their results and see where work needs attention.

And when your business needs change, you can simply ask your 2IC through ChatGPT or Claude to help update the Routine.

For example, you might:

  • Change a weekly report from Monday at 10 am to Tuesday at 11 am.
  • Add another Task to check information before preparing the final report.
  • Change which AI Agent or staff member is responsible for a particular Task.

Your 2IC helps prepare the changes for your review and approval, so you don’t need to rebuild the Routine from scratch.

You can also pause or disable a Routine when it’s no longer needed.
